Eligibility, Paperwork, and Payroll


Eligibility

We are allowed to hire only full time (FT) Columbia University, Barnard or Teachers College students. All tutors are required to submit a certification of their status from their School Registrar at the beginning of every semester.

 If you are contacted regarding a tutorial for this semester you *must* make sure you currently are a full time student before accepting any tutorials. If you are not a full time student, we won't be able to pay you.
 
As soon as you accept an offered tutorial, we will contact the student and wait for him to pay before the tutorial can start. In the meantime,you should bring to our office the paperwork that is explained in detail below. When the payment is complete, we'll put in contact tutor and student(s) and the tutorial should start.

  1. Enrollment Certification.

    If you are a Columbia student you can either go to the Registrar office in Kent Hall or order online from https://ssol.columbia.edu/ (under "Academic Records", click "Certification Request"). The certification is free and it can be mailed directly to:

  2. Payment Paperwork

    Starting on Fall 2008, all tutors (including those who are working in other departments) must fill the following forms and bring them to our office (directions) before starting the tutorial sessions. If you don't submit the paperwork on time, we cannot guarantee we will be able to pay you at all :

               • Casual Employment Form
               • W4 Tax Form
               • I-9 (Employment Eligibility Verification)

    The I9 will be done in one of the University's I-9 Processing Centers. Reverification of current non-resident alien employees and rehires when applicable should also be completed at one of these processing centers.
    Please note: Beginning January 5, 2009, Morningside campus international students on an F or J visa who are hired to work should no longer go to the International Students and Scholars Office (ISSO) to complete an I-9 form.  Instead, international students should be directed to one of the central I-9 processing locations on the Morningside campus.
    International students at CUMC should continue to go to Immigration Affairs,
    Black Building, Room 126-B.

    All students should fill out Section 1 of the I-9 by visiting the New Hire page at http://www.hr.columbia.edu/hr/misc-pages/newhire/index.html
    and then go in person to one of the I-9 Processing Centers in order to complete
    Section 2.
    The Processing Centers are located at:
    - 210 Kent Hall on the Morningside Campus
    - Human Resources, Studebaker-615 W. 131st street, 4th floor
    - Harlem Hospital Affiliation HR, 6214 MLK Pavillion
    - Lamont-Doherty Earth Observatory Human Resources, 205 Administration
    Special arrangements can be made to facilitate a scheduled appointment with an I-9 specialist for individuals needing special consideration. Please call Maria Matos at 212-851-0653 or Maria Arbilo at 212-851-0641 to make an appointment.
     

Payment

You should expect to receive your payment in April (in the Spring) or November (in the Fall), only if we have received all the required paperwork on time. Delays in handing in the paperwork causes necessarily delays in the payment process.
 
Please note: Payment should be completed during the semester in which the tutorial takes place. If we can not pay you in the semester you worked because you did not submit the employment paperwork on time, we cannot guarantee we will be able to pay you at all.
